Dornan are currently recruiting for a Document Controller to work as part of a Preconstruction team for a large Data Centre Client in Cork.

Roles and responsibilities:

  • Responsible for coordinating multiple project documentation; records must be maintained, kept up-to-date and archived correctly.
  • Preparation of reports and memorandums
  • Keeping trackers up to date
  • Update the Outgoing Instruction register, drawing register and Technical Submittal register whenever a technical submittal is uploaded or when Client has commented on one.
  • Manage the RFI (Request for Information) register, uploading and monitoring of responses
  • Examine documents, such as Technical Submittals, drawings, change orders, and specifications to verify completeness and accuracy of data.
  • Ensure that all corporate documents are well checked and submitted on time prior to the document submission due date.
  • Monitoring Client document platforms for updated information
  • Uploading of Documentation to online Project platforms
  • Meeting with Stakeholders Document controllers
  • Meetings and Training with Subcontractors about Document Control Procedures
  • Developing and maintaining project Engineering controls registers / Documentation
  • Raising Purchase Orders, registering invoices
  • Assist in composition and management of documentation related to Quality, Completion Packs, HSE
  • Secretarial services as required, taking meeting minutes, filing, photocopying, managing mail, booking flights and accommodation, greeting visitors and registering them on arrival
  • Dealing with staff queries and admin such as collating times sheets and forwarding to payroll to process, following up on payroll queries
  • Maintain various staff records such as training, issue of PPE, laundry and booking training courses as required for staff to meet needs of site training database
  • Proactively manage meeting room allocation, and arrange lunches

Experience Required:

  • At least 2 years’ experience in a similar role either with a  main contractor or a subcontractor.
  • Experience using G-suite of programs such as Google Sheets / Slides / Docs / G-Mail  
  • Candidates must be proficient in MS office suite, particularly Excel and Outlook
  • Experience using systems such as BIM360 or Asite would be beneficial
  • Experience with engineering drawings, tracking drawing revisions
